Equipment

Track your landscaping equipment, schedule maintenance, and monitor operational status. The Equipment module helps you manage your fleet of mowers, trucks, trailers, and tools.

Adding Equipment

  1. Navigate to Equipment in the sidebar
  2. Click Add Equipment
  3. Enter the equipment details:
    • Name — Descriptive name (e.g., “2024 John Deere Z530M”)
    • Type — Category (Mower, Truck, Trailer, Trimmer, Blower, etc.)
    • Serial Number — Manufacturer’s serial number
    • Purchase Date — When the equipment was acquired
    • Purchase Price — Original cost
    • Status — Active, In Maintenance, Out of Service, Retired
  4. Click Save

Equipment Status

Track the current state of each piece of equipment:

Equipment status is visible across the app. When a piece of equipment is marked “In Maintenance,” it will not be available for job assignment.

Maintenance Tracking

Schedule and track equipment maintenance:

  1. Open an equipment record
  2. Navigate to the Maintenance tab
  3. Click Schedule Maintenance
  4. Enter the maintenance details:
    • Type — Oil change, blade sharpening, tune-up, repair, etc.
    • Due Date — When the maintenance is due
    • Estimated Cost — Budget for the maintenance
    • Notes — Details about the work needed
  5. Save the maintenance record

When maintenance is completed:

  1. Open the maintenance record
  2. Enter the actual cost and completion date
  3. Add notes about the work performed
  4. Mark as Completed

Equipment Reports

View equipment-related reports:

  • Maintenance History — All past maintenance records by equipment
  • Cost Summary — Total maintenance costs by equipment and time period
  • Utilization — How frequently each piece of equipment is used on jobs

Depreciation

Track equipment depreciation for accounting purposes:

  • Purchase price and date are used to calculate current book value
  • Useful for tax reporting and replacement planning
