Team Setup

LawnLedger CRM supports multiple team members with role-based access control. Invite your office staff, crew leads, and field workers so everyone has the right level of access.

Inviting Team Members

  1. Navigate to Settings from the sidebar
  2. Open the Team tab
  3. Click Invite Member
  4. Enter the team member’s email address
  5. Select their role:
    • Owner — Full access to everything, including billing and organization settings
    • Admin — Full access to operations but cannot manage billing or delete the organization
    • Member — Standard access to day-to-day features (customers, jobs, invoices, etc.)
  6. Click Send Invitation

The invited user receives an email with a link to accept the invitation and create their account.

You can resend or revoke invitations at any time from the Team settings page.

Custom Roles and Permissions

For more granular control, LawnLedger supports custom roles:

  1. Navigate to Settings > Roles
  2. Click Create Role to define a new role
  3. Configure permissions for each feature area:
    • Customers (view, create, edit, delete)
    • Jobs (view, create, edit, delete, assign)
    • Estimates (view, create, edit, send)
    • Invoices (view, create, edit, send, record payments)
    • Contracts (view, create, edit, send)
    • Equipment (view, create, edit)
    • Reports (view)
    • Settings (view, manage)
  4. Assign the custom role to team members

Only Owners and Admins can invite team members and manage roles. Standard Members cannot access team management settings.

Managing Team Members

From the Team tab in Settings, you can:

  • Change roles — Update a team member’s role at any time
  • Remove members — Revoke access for team members who have left
  • View activity — See when team members last logged in

Mobile Crew Access

Field crew members can use the LawnLedger mobile app to:

  • View their assigned jobs for the day
  • Clock in and out of jobs with GPS tracking
  • Mark jobs as complete
  • Add notes and photos to job records

Crew members log in with their team credentials and see only the jobs assigned to them.
